Job Description
Reporting to the Operations Manager, Workflow Planning, the Workflow Control Specialist is responsible for the day-to-day management of flow standards pertaining to the NGFC/Operations process path. They will work with operation leaders to monitor the execution of the shift/daily plan, and escalate risks or standard work deviations. The ideal candidate has a strong understanding of workflow management, and has prior experience working within a high volume operations setting.
The role of a Workflow Control Specialist is to oversee the flow of work within a process path and partner with operations leaders to remove inefficiencies and propose solutions to optimize the flow . They are responsible for ensuring that work processes are efficient, effective, and meet the needs of the organisation and its stakeholders.
RESPONSIBILITIES

Maintain a safe, organised, and clean work environment following 5S

Adhere to health and safety procedures
Workflow Organisation (60%)

Review the daily workflow performance of the process path, and ensure compliance with all operational metrics and service level agreements

Monitor the progress of the process path, ensuring operational tasks are completed on time; lead the solutions for troubleshooting workflow exceptions management, such as flow jams, outstanding tasks, resources idle time, etc.

Partner with Business Process Owners (BPOs) & Operations Leaders in developing and implementing efficient workflow processes and procedures that address the bottlenecks

Evaluate performance metrics to assess the effectiveness of workflow processes

Collaborate with other operational teams to ensure that workflows are coordinated and aligned with overall business objectives

Perform tasks according to the established workflow process, such as data entry, file management, and document processing

Monitor workflow queues and prioritise tasks based on urgency and importance
-
Resolve and/or escalate issues or errors that occur during the workflow process
-
Communicate with other team members to ensure that tasks are coordinated and completed efficiently

Maintain accurate records and documentation of workflow activities and outcomes
Process Improvements (30%)

Actively participate in the culture of continuous improvement and customer focus in all areas

Perform root cause analysis to identify performance gaps and proactively implement changes to bridge said gaps

Remain abreast of industry best practices and act as a subject matter expert in flow management tools, and processes, and how they interconnect with the different process paths within the FC Operations

Work with Managers and Peers on the implementation of continuous improvement strategies and problem solving tools

Ensure improvements and solutions enable a positive customer experience and reduced lead times
Qualifications

Bachelor’s degree in Engineering, Business, Mathematics or a related analytical field

2-3 years of supply chain experience in a high volume fulfilment centre or manufacturing operation

Data Science skills, including SQL experience

Flexible working schedule including weekends, days, evenings, nights, overtime (Mandatory requirement)

Experience with automation within all aspects of the fulfilment process, an asset

Advanced knowledge of Microsoft Office Suite and Warehouse Management Systems

Exposure to Lean Six Sigma and ISO System, an asset

Strong written and verbal communication skills in both French and English
