Job Description:
As a Charter Operations Assistant, you are expected to provide assistance within the Charter Department. This means that in addition to performing administrative tasks like managing multiple calendars, booking charter events, and building relationships with customers, you are also instrumental in keeping bookings organized, helping standardize efficient charter processes, and staying up to date with charter software. In addition, you are responsible for scheduling service, managing time, gaining cooperation of others, monitoring progress, problem-solving and adjusting plans. Making sure that everything is in place for the client’s service to function smoothly while maintaining a high level of confidentiality and professionalism is key in your day-to-day routine.
Work Shift: Wednesday - Sunday from 8:30am – 5:00pm. Occasional after- hours calls may be required.

Job Duties & Responsibilities:
- Monitors the status of all planned trips in progress from the duration of the service
- Display communication skills by answering calls, responding to emails, and interfacing with clients daily
- Maintain and develop customer satisfaction by ensuring the highest quality services are provided to clients, owners and end users
- Identifies, anticipates and takes corrective action to minimize actual/potential delays due to scheduling operations, driver availability and maintenance issues
- Ensure accuracy of driver logs in Coach Manager
- Provide quotes for charters and specials to prospective clients
- Sell services using knowledge of company standards, experience, equipment, etc.
- Provide customer service with any complaints that arise
- Book travel arrangements for drivers as needed
- Assign driver to carter coaches; create equipment wash lists and distribute to designated shops on a weekly basis for all charters and high-level tours
- Assemble information required for Charter Drivers
- Assist with preparation of required reports, audit and trip data
- Assist with preparation and finalization of charter run invoices
Qualifications & Skills Required:
- Sales experience considered an asset
- Strong attention to detail
- Flexible; able to deal with change and tight timelines
- Strong organizational skills- detail oriented, ability to prioritize and be proactive
- Proficient in Microsoft Office Suite
- Class 1 or 2Q license considered an asset
Education Requirements:
- Minimum two years’ experience in an office setting and two years in customer service
- A minimum of a certificate or diploma in Office Administration or Business, Communications or equivalent - with a minimum of (2) years of related experience
- A combination of education and experience may be considered
