Job function/Purpose:
As a Council Executive Assistant, your role would involve providing high-level administrative support to the executive members of a Gwa’sala-‘Nakwaxda’xw Council. You would be responsible for assisting with various tasks and projects to ensure the smooth functioning of the council and its activities.
key responsibilities:
Administrative Support: Provide administrative support to the executive members, including managing their calendars, filing scheduling meetings, arranging travel, and handling correspondence.
Meeting Coordination: Assist in coordinating council meetings, including preparing agendas, gathering and distributing meeting materials, and taking minutes. You may also be responsible for following up on action items and ensuring timely completion.
Communication: Serve as a liaison between the executive members and internal/external stakeholders. This involves drafting and editing correspondence, memos, and reports, as well as responding to inquiries on behalf of the council.
Document Management: Organize and maintain confidential files, records, and documents related to the council's activities, ensuring they are properly stored and easily accessible.
Research and Analysis: Conduct research and compile information on various topics relevant to the council's initiatives. You may be required to prepare reports, summaries, and presentations based on your findings.
Event Coordination: Assist in planning and coordinating special events, conferences, workshops, or community gatherings initiated by the council. This includes logistics, venue arrangements, invitations, and managing guest lists.
Budget and Financial Support: Support the executive members in budget preparation and monitoring. This may involve tracking expenditures, processing invoices, and maintaining financial records.
Relationship Building: Foster positive relationships with community members, partner organizations, government officials, and other stakeholders on behalf of the council. This includes attending meetings and events, networking, and maintaining open lines of communication.
Confidentiality and Ethics: Uphold a high level of confidentiality and professionalism in handling sensitive information and adhering to ethical guidelines in all aspects of your work.
Additionally, the specific responsibilities and tasks may vary depending on the size of the council, its priorities, and the unique needs of the community. Your role as an Executive Assistant is crucial in supporting the executive members and contributing to the effective operation and governance of the council.
4. Working Conditions:
Weekdays/weekends, 35 hrs/week
