Reporting to the Director, Flight Operations, the Aircraft Travel Coordinator is responsible for managing the use of and maximizing efficiency and utilization of company aircraft. The Aircraft Travel Coordinator will manage crew schedules and provide trip support as required.
The Aircraft Travel Coordinator will work closely with the Crew, Executive Assistant group and the Trip Support Specialist to utilize the company’s scheduling software to manage aircraft and crew schedules. The role will also provide basic trip support to the crews as per the Trip Support Manual.
Responsibilities:
- Respond to requests for use of company aircraft in a timely manner.
- Participate in aircraft scheduling training and conferences.
- Collaborate with departmental managers for maximizing use of company aircraft.
- Work with Director of Maintenance to schedule aircraft down time as required.
- Collaborate with Concur Travel Supervisors
- Manage aircraft user group criteria requirements.
- Work with passengers to assure travel expectations / policies are followed.
- Complete Operations Manual exams
- Complete Flight Following training as required by the Canadian Aviation Regulations and provide Flight Following when required.
- Work with Foreflight dispatch for trip support when required.
- Aircraft arrival and departure support for passengers
- Monitor and track crew duty, utilizing BART scheduling system, in accordance with CARs and company Flight Operations Manual requirements.
- Review BART Flight Logs for accuracy & consistency
- Prepare and submit reports as per departments Safety Management System (SMS)
- Other duties as assigned by the Director of Flight Operations
Experience:
- Minimum of 5 years’ experience in corporate/private aviation
- Basic knowledge of aircraft flight planning and meteorology
Skills and Requirements:
- Excellent verbal and written communication
- Strong computer skills including MS Office
- A customer service oriented professional
- Ability to travel domestic and internationally, as required
- Hold a Canadian Passport and the right to live and work in Canada
- Must pass a background check
- Ability to obtain Airport Security Clearance (RAIC)
- Flexible to work a varying work schedule and on call basis as required. Evening and weekend work may be required with notice
- Located within 1-hour drive from the YVR airport considered an asset
