Job title: Procurement Administrator
Faculty: Operations and Real Estate Partnerships
Hourly pay rate: $43.48
Work term: As soon as possible to July 14, 2023
Schedule: Monday to Friday 8:45 am - 5:00 pm
Type: Hybrid role, location St. George Campus.
Responsibilities:
With the support of other team members from Project Development & Controls and Project Management, the candidate will be the primary administrative contact for construction procurement processes affiliated with the UPDC Project Management team.
Supports procurement activities by:
- Interpreting open competitive bid regulations and related frameworks to ensure adherence to applicable University policies
- Overseeing the open competitive procurement process including, tendering and evaluating
- Issuing request for proposals and other tendering documents
- Coordinating selection and negotiation processes with external vendors
- Conducting detailed analysis of competitive solicitations
- Creating and editing documents
- Verifying the accuracy and completeness of documents
- Verifying that University procurement and related policies are followed
- Ensuring that tendering bid documents are clear and compliant with University procurement policies
Provides administrative support by:
- Maintaining a procurement database
- Coordinating meeting schedules, agendas, materials, action and follow-up items
Required Qualifications:
- College or University Undergraduate degree
- Relevant experience to this position
- MS Office (Excel, word and outlook) - Intermediate level
- Familiarity with all typical data management tools (e.g. Microsoft 365, Adobe Acrobat Pro) is preferred
- Familiarity with online procurement databases such as Biddingo and MERX is preferred
- Experience using FIS system is an asset
